Veterinary QuickBooks CleanupThe month needs a last day

A month that never gets a closing date keeps absorbing every later discovery, and the bank never quite wins.

Open the last day

Reconcile, then stop

The close is a sequence, not a mood. The bank is matched. The holding account for batches still on the way is emptied or listed. The four kinds of charges are on their own lines. The shelf difference is on a list or explained. Then a closing date is set, and new typing lands after it.

Skipping the match and setting the date anyway produces a locked wrong month. Skipping the date and matching forever produces a file that changes under a return. We do the match first. The date is the promise that the match will still be there next week.

A filed period stays filed

If a return already left with a month inside it, that month is not reopened to tidy a deposit, a fee, or a shelf count. The correction is recorded in the open month with a note that points at the earlier day. Owners sometimes hear this as stubbornness. It is how the return and the books remain the same story.

A discovery can still be real. A missed fee, a plan that was earned later, a carton that was expensed too soon. Each of those can be written in the month you are standing in. None of them requires a silent edit to a period that already traveled.

What the close is allowed to include

Statements we prepare from a closed month carry no assurance cover. They are the month, readable. A cover that says the figures were examined is a different assignment and does not come from this address.

The chart earns the same discipline. Accounts that are done get archived so history remains readable. New activity does not get posted to a retired account just because the name is familiar. A familiar name with a new meaning is how a year becomes unreadable.

Name the last month you trusted. We begin there and walk forward. If no month feels trustworthy, we say that on the call and pick the earliest open period you can still document.
